Terms and Conditions of Service

1. About Us
Entity Scout is a trading name of The Structured Data Company Limited, a company registered in England and Wales under company number 16095340, whose registered office is at 1-2 Rhodium Point Spindle Close, Hawkinge, Folkestone, Kent, United Kingdom, CT18 7TQ (referred to in these Terms as “we”, “us”, “our” or “Entity Scout”).
Entity Scout is accessible at https://entityscout.com. These Terms and Conditions (“Terms”) govern your use of the Entity Scout platform and all associated services, dashboards, tools, and features (together, the “Service”).
By registering for an account or using the Service, you agree to be bound by these Terms. If you do not agree, you must not use the Service.
2. Eligibility and Account Registration
The Service is available to businesses only. By registering, you confirm that:
- you are registering on behalf of a business, company, or professional organisation
- you have the authority to enter into these Terms on behalf of that entity;
- you are not a consumer acting for personal, family, or household purposes.
We reserve the right to refuse registration or terminate accounts where we have reason to believe these requirements are not met.
You are responsible for maintaining the confidentiality of your login credentials and for all activity that takes place under your account. You must notify us promptly at customerservice@entityscout.com if you become aware of any unauthorised access.
3. Account Security and Passwords
You are responsible for maintaining the security of your account. To protect your account and our platform, all users must set a password that meets the following requirements:
- a minimum of 12 characters in length;
- a mix of uppercase and lowercase letters;
- at least one number;
- at least one special character (for example: !, @, #, $, %, ^, &, *).
You must not share your password with any third party. You should use a unique password for Entity Scout that is not used for any other service. We recommend using a reputable password manager to generate and store strong passwords securely.
In the event of a suspected or confirmed security breach affecting your account, you must notify us immediately. You should also change your password without delay.
We are Cyber Essentials certified and take reasonable technical and organisational measures to protect the Service and your data from unauthorised access, loss, or disclosure. However, no system is entirely secure, and we cannot guarantee that the Service will be immune from all security threats.
In the event of a data breach affecting your personal data, we will notify you and any relevant regulatory authority as required by applicable law, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. We will take all reasonable steps to contain and remediate any breach as quickly as possible.
We accept no liability for any loss or damage arising from your failure to comply with your password and account security obligations under this section.
4. The Service
Entity Scout provides brand entity tracking and monitoring tools for SEO professionals and agencies. The Service includes features such as Knowledge Graph tracking, AI Overview monitoring, SERP analysis, domain category analysis, brand sentiment monitoring, and related tools, as described at https://entityscout.com.
We reserve the right to modify, update, add, or remove features of the Service at any time. We will endeavour to provide reasonable notice of material changes where practicable.
5. Third-Party Data – Important Notice
ALL data displayed within the Entity Scout platform is sourced entirely from third-party providers, including but not limited to DataForSEO, Google APIs, Bing APIs, and other external data sources. We have no control over the collection, accuracy, completeness, or timeliness of data provided by these third parties.
Accordingly, we expressly disclaim all liability for:
- any inaccuracies, errors, omissions, or outdated information in any data displayed within the Service;
- any changes made by third-party providers to their data, APIs, methodologies, or services;
- any interruption to data availability caused by third-party providers;
- any decisions made by you or your clients in reliance on data obtained through the Service.
You acknowledge and agree that data sourced from third parties is provided “as is” and that you use it at your own risk. Entity Scout makes no representations or warranties, express or implied, as to the accuracy, reliability, completeness, or fitness for purpose of any third-party data.
Much of the data tracked by Entity Scout is publicly accessible information sourced from publicly available systems, such as Google’s Knowledge Graph and public search results. It does not constitute sensitive, private, or confidential information about individuals or organisations.
You acknowledge that some users may use the Service to track data relating to competitors or third parties. We have no control over which entities users choose to monitor, provided such use is lawful and in accordance with these Terms. We accept no liability for the use of publicly available data about third parties.
6. Subscriptions and Pricing
6.1 Subscription Tiers
Entity Scout offers the following paid subscription tiers:
- Bronze – £35 per month
- Silver – £60 per month
- Gold – £140 per month (minimum 3-month contract term)
- Agency / Enterprise – pricing by arrangement (minimum 6-month contract term)
Full details of features included in each tier are set out at https://entityscout.com/#pricing as well as our sign up page. We reserve the right to adjust pricing or features with reasonable advance notice. Price changes will not apply to your current billing period.
6.2 Free Trial
A 7-day free trial is available as a standalone tier, separate from paid subscriptions. The free trial allows tracking of up to 2 entities. No payment details are required to start a free trial.
At the end of the free trial period, access to the Service will be suspended automatically. Your data will be retained for 30 days following the end of the free trial, after which it will be permanently deleted. To continue using the Service and retain your data, you must upgrade to a paid subscription before the 30-day retention period expires.
We reserve the right to modify or withdraw the free trial offer at any time.
6.3 Billing and Payment
Subscription fees are billed monthly and collected automatically via Stripe, our third-party payment processor. By subscribing, you authorise us to charge your chosen payment method on a recurring basis. Payment processing is handled by Stripe, Inc., and is subject to Stripe’s own terms of service and privacy policy. We do not store your full payment details and accept no liability for payment processing errors or failures caused by Stripe.
Your subscription will renew automatically each month unless cancelled in accordance with Section 7 below.
6.4 Upgrades
You may upgrade your subscription tier at any time. An upgrade takes effect immediately upon confirmation. You will be charged the full price of the new tier immediately, and your billing date will reset to the date of the upgrade. Any unused portion of your previous billing period is non-refundable.
6.5 Downgrades
You may downgrade your subscription tier at any time, subject to any applicable minimum contract term. A downgrade will take effect from the start of your next billing period. You will continue to have access to your current tier until that date.
6.6 Minimum Contract Terms
The Gold tier carries a minimum contract term of 3 months. The Agency/Enterprise tier carries a minimum contract term of 6 months. During the applicable minimum term, you may not cancel or downgrade your subscription, except as set out in Section 6.2 below.
7. Cancellation and Refunds
7.1 Cancellation
You may cancel your subscription at any time via your account settings or by contacting us. Upon cancellation:
- you will retain access to the Service until the end of your current paid billing period;
- no further charges will be made after that date;
- your account and all associated data will be deleted 6 months after the end of your final billing period.
We strongly recommend that you export your data as a CSV file before your access expires. Any data you have already downloaded in CSV format remains yours to keep.
7.2 Cancellation During Minimum Contract Term
If you are on a Gold or Agency/Enterprise tier subject to a minimum contract term, you may not ordinarily cancel before that term expires. If you attempt to cancel during the minimum term, you will remain liable for fees until the end of that term.
An exception applies where cancellation is requested due to a material malfunction or error on our part that we have failed to remedy within a reasonable period. In such cases, we will consider early cancellation and a pro-rata refund on a case-by-case basis.
7.3 Refunds
Refunds will be considered in the following circumstances:
- Accidental duplicate payment: a full refund will be issued where a duplicate charge has been made in error.
- Cancellation after minimum term: where a subscription with a minimum contract term is cancelled after that term has expired, a pro-rata refund of any prepaid fees for the remaining portion of the billing period may be issued.
- Material service failure: where a significant malfunction or error on our part has caused material disruption to the Service and we have been unable to remedy this within a reasonable period.
Refund requests should be submitted by contacting us. We do not offer refunds for dissatisfaction with third-party data quality, as this is outside our control.
8. Acceptable Use
You may use the Service only for lawful business purposes and in accordance with these Terms. You must not:
- use the Service for any unlawful purpose or in any way that violates applicable laws or regulations;
- resell, redistribute, or commercially exploit the data obtained through the Service, whether in whole or in part;
- scrape, extract, or otherwise access data from the Service by automated means outside of the Service’s own functionality;
- attempt to circumvent or interfere with the Service’s security, access controls, or technical systems;
- use the Service in any way that could damage, disable, or impair the Service or its infrastructure;
- misrepresent your identity or your organisation when registering for or using the Service.
We reserve the right to suspend or terminate your account immediately and without notice if we reasonably believe you are in breach of this section.
9. Team and Viewer Accounts
Paid subscribers may add an unlimited number of viewer accounts for team members at no additional charge. Viewer accounts provide read-only access to the subscriber’s data and do not include administrative or billing functions.
The account holder is responsible for ensuring that all viewer accounts comply with these Terms. Any breach by a viewer account will be treated as a breach by the account holder.
10. Data, Privacy and Account Deletion
10.1 Your Data
Entity Scout processes data on your behalf as part of providing the Service. All data tracked within the Service is derived from publicly accessible sources and does not constitute sensitive personal data as defined under UK data protection legislation.
Our Privacy Policy, available at https://tool.entityscout.com/privacy-policy/, sets out how we collect, use, and protect your personal data. By using the Service, you agree to our Privacy Policy.
10.2 Account and Data Deletion on Cancellation
Following cancellation of your subscription, your account and all associated tracking data will be retained for 6 months from the end of your final paid billing period, after which they will be permanently deleted. You are responsible for exporting any data you wish to retain before this period expires.
10.3 Inactive Account Deletion
We reserve the right to delete accounts that have not been accessed for a continuous period of 12 months or more. We will make reasonable efforts to notify you at the email address registered to your account prior to deletion. Permanently deleted accounts and their associated data cannot be recovered.
10.4 Free Trial Data Retention
Data associated with a free trial account will be retained for 30 days following the end of the trial period. If you do not upgrade to a paid subscription within that period, your data will be permanently deleted.
11. Intellectual Property
All content, software, trademarks, branding, and materials forming part of the Entity Scout platform are owned by or licensed to The Structured Data Company Limited and are protected by applicable intellectual property laws. Nothing in these Terms grants you any rights in the foregoing except as strictly necessary to use the Service.
You retain ownership of any data you input into the Service. By using the Service, you grant us a limited, non-exclusive licence to process and display that data for the purpose of providing the Service to you.
12. Disclaimers and Limitation of Liability
12.1 Service Provided “As Is”
The Service is provided on an “as is” and “as available” basis. To the fullest extent permitted by law, we exclude all representations, warranties, and conditions, whether express or implied, including without limitation implied warranties of merchantability, fitness for a particular purpose, and non-infringement.
12.2 Third-Party Data Disclaimer
As set out in Section 4, we accept no liability whatsoever for the accuracy, completeness, or reliability of any data sourced from third parties. The data is provided for informational purposes only and should not be relied upon as the sole basis for any business, commercial, or strategic decision.
12.3 Limitation of Liability
To the fullest extent permitted by applicable law, our total aggregate liability to you arising out of or in connection with these Terms or the Service – whether in contract, tort (including negligence), breach of statutory duty, or otherwise – shall not exceed the total subscription fees paid by you to us in the 3 months immediately preceding the event giving rise to the claim.
In no event shall we be liable for:
- any indirect, consequential, incidental, special, or punitive loss or damage;
- loss of profits, revenue, contracts, data, or business opportunities;
- losses arising from your reliance on third-party data displayed within the Service;
- losses arising from actions taken by third-party data providers, including changes to their APIs, data, or services;
- losses arising from failures of Stripe or other third-party payment processors.
Nothing in these Terms shall limit or exclude liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be limited or excluded by law.
13. Governing Law and Jurisdiction
These Terms and any dispute or claim arising out of or in connection with them or their subject matter or formation (including non-contractual disputes or claims) shall be governed by and construed in accordance with the laws of England and Wales.
The courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms or their subject matter or formation.
14. Changes to These Terms
We may update these Terms from time to time. When we do, we will revise the version number and effective date at the top of this document and, where changes are material, we will notify you by email to the address registered to your account or by a notice displayed within the Service.
Your continued use of the Service after the effective date of any updated Terms constitutes your acceptance of those changes. If you do not agree to the updated Terms, you should cancel your subscription and cease using the Service.
15. General
These Terms constitute the entire agreement between you and us in relation to the Service and supersede all prior agreements, representations, and understandings.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions shall continue in full force and effect.
Our failure to exercise or enforce any right or provision of these Terms shall not constitute a waiver of that right or provision.
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign our rights and obligations at any time.
